What personal data we collect and why

Enquiries and contact forms

When you submit an enquiry through our contact form, we collect your name, email address, phone number, and any information you choose to include in your message. This information is used solely to respond to your enquiry and arrange veterinary services. We do not add you to any mailing list without your explicit consent.

Appointment bookings

Appointment bookings are handled through our third-party booking platform, Vetter Software. When you book an appointment, you will be directed to Vetter’s booking system. Any personal and pet health information collected during the booking process is subject to Vetter Software’s own privacy policy in addition to this policy. We collect and retain appointment records as part of our veterinary client records obligations under Queensland veterinary legislation.

Veterinary records

As a registered veterinary practice, we are required to maintain accurate patient records. Information collected in the course of providing veterinary services — including your contact details, your pet’s signalment, history, and clinical records — is retained in accordance with the Veterinary Surgeons Act 1936 (Qld) and professional obligations set by the Veterinary Surgeons Board of Queensland. These records are stored securely and are not shared with third parties except where required by law or with your consent.

Comments

If you leave a comment on our website, we collect the data shown in the comment form, along with your IP address and browser user agent string to assist with spam detection. An anonymised string (hash) derived from your email address may be shared with the Gravatar service to display a profile picture if you use Gravatar. Gravatar’s privacy policy is available at: https://automattic.com/privacy/. Approved comments and associated profile pictures are visible to the public.

Media uploads

If you upload images to the website, please avoid images that contain embedded location data (EXIF GPS). Visitors to the website can download and extract location data from any images published on the site.

How long we retain your data

Website comments: Comments and their metadata are retained indefinitely to allow automatic recognition and approval of follow-up comments.

Veterinary client and patient records: Clinical records are retained for a minimum of seven years from the date of last entry (or until a patient would be ten years of age, whichever is longer) in accordance with Queensland veterinary practice standards.

Enquiry and contact data: General enquiry data is retained for a reasonable period to facilitate follow-up, after which it is securely deleted unless you have become a client.

Registered user accounts: If you hold a registered account on this website, your stored personal information remains in your profile until you request its deletion. All registered users may view, edit, or delete their personal information at any time (excluding username changes). Website administrators can also view and edit this information.


What rights you have over your data

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or out-of-date personal information
  • Request deletion of personal data we hold, where we are not legally required to retain it

Note: we cannot delete data we are legally obligated to retain, including veterinary clinical records and records required for tax and regulatory compliance.

Where data is sent overseas, we take reasonable steps to ensure it is handled in accordance with the Australian Privacy Principles.
